What should an AI receptionist do for a letting agency?
The useful version of an AI receptionist does more than answer. It turns an unstructured call into a clear next action while recognising when a person must take over.
Identify the reason for every call
A letting agency receives applicant enquiries, tenant questions, maintenance reports, landlord calls and emergencies. The agent should identify intent early, then follow a flow designed for that category.
Collect only useful information
For a viewing request, useful details may include the property, availability and basic applicant position. For maintenance, the agent needs the address, issue, impact and safety signals. More questions are not automatically better.
Escalate risk and judgement
Potential emergencies, complaints, vulnerable callers, legal questions and sensitive landlord conversations should have clear human escalation. Automation supports judgement; it does not replace accountability.
Create a structured record
A summary, transcript or ticket should arrive where the team already works. Caller details, property, category, urgency and agreed next step make the interaction actionable.
Measure operational value
Track answer rate, useful handoffs, appointments booked, response time and staff time saved. Avoid celebrating call volume if the calls do not reach a helpful outcome.
